1. About this policy
MwanduHub is a secure group-management platform powered by Esimwa Green Developers Ltd. It supports welfare groups, chamas, associations, churches and other organizations. This policy explains how personal information is handled when people use MwanduHub.
2. Information processed
Depending on the modules used by an organization, records may include names, usernames, phone numbers, email addresses, membership information, contributions, arrears, loans and repayments, benefits, expenses, meeting records, uploaded documents, event/project participation, and church giving records such as tithes, offerings, pledges and donations.
3. Why information is used
Information is processed to create and secure accounts, maintain membership and financial records, administer approved organization activities, provide reports and accountability, support authorized workflows, maintain audit/security records and provide technical support.
4. Organization responsibility
Each organization determines the information it enters and the legitimate group purposes for which that information is used. MwanduHub provides the technology used to process and store those records. Organizations and platform operators must use personal data only for lawful, fair and transparent purposes.
5. Privacy by role
Access is role-based. Ordinary members should not receive unrestricted administrative access. Personal loan, benefit and individual financial records are limited to the member and authorized officials required for the relevant workflow. Organization-level transparency information is shown only where the applicable settings permit it.
6. Church giving privacy
Individual tithes, offerings, pledges and donations are treated as private financial records. A member may access their own records where the organization enables that service. Group or church totals may be shared according to transparency settings, but individual donor identities and amounts are not intended for general member disclosure.
7. Security
MwanduHub uses account authentication, password hashing, session controls, organization separation, role-based permissions, audit records and protected application workflows. Users must protect their credentials and immediately report suspected unauthorized access.
8. Data subject rights
Subject to applicable law and legitimate record-retention requirements, a person may request information about use of their personal data, access to their data, correction of inaccurate or misleading information, objection to certain processing, or deletion where legally applicable. Requests may require identity verification.
9. Retention
Records are retained only as long as reasonably necessary for the purposes for which they were collected and for applicable financial, organizational, dispute, security or legal requirements. Account deactivation does not necessarily require immediate deletion of records that must legitimately be retained.
10. Sharing
MwanduHub does not sell members' personal information. Information may be accessible to authorized organization officials, service providers needed to operate the platform, or competent authorities where disclosure is lawfully required.
11. Kenya data protection
The platform is designed with the principles of Kenya's Data Protection Act, 2019 in mind, including lawfulness, fairness, transparency, purpose limitation, data minimisation, accuracy, storage limitation, integrity/confidentiality and accountability.
